How EKA Balance Business collects, uses, protects, and responds to requests about personal data.

Data we collect

As a B2B corporate wellbeing provider, we may process company and business-client details (company name, billing address, contact person, role or team, email, and phone), participant details for scheduled employee wellbeing sessions where relevant to organizing and delivering a program (name, contact details, attendance, and any information voluntarily shared to ensure safe and appropriate participation), and billing or invoicing information needed to fulfil a contract.

We may also process technical information such as pages visited, browser type, approximate location, device information, referral source, and cookie consent choices when analytics or marketing tools are active.

Purpose and legal bases

We process personal data to respond to inquiries, prepare proposals, deliver booked corporate wellbeing programs and workshops, manage appointments, maintain client communication, improve the website, and comply with legal obligations.

Depending on the situation, processing relies on: performance of a contract, for delivering booked programs and managing the client relationship; consent, for optional marketing communications and non-essential cookies; legal obligation, for issuing invoices and meeting Spanish tax and accounting requirements; and legitimate interest, for managing client accounts, preventing misuse, and maintaining the security of our systems.

You may withdraw consent at any time where processing depends on consent. Withdrawal does not affect processing already carried out lawfully.

Third-party services

We do not sell personal data. We use Google Analytics (GA4) to measure website traffic and Google Ads to measure advertising campaign performance; both only run once you grant consent through our cookie banner, and there is currently no active Google Ads campaign configured for this site.

EKA Balance Business is part of the wider EKA Balance group, which maintains a shared marketing and customer-relationship-management (CRM) technology stack that includes HubSpot. HubSpot may be used across EKA Balance group websites for customer relationship management and marketing purposes, but it is not currently sending data from, or actively tracking, this website — it is a dormant, reserved part of the shared stack rather than a live tracker on this site. If HubSpot is activated here in the future, this policy will be updated and consent will be requested where required.

Data may also be shared with other service providers that help operate the website, email, scheduling, hosting, accounting, or security systems. Where providers process personal data on our behalf, they are bound by appropriate data processing terms and safeguards.

International transfers

Some of the providers referenced above, including Google (Google Analytics 4, Google Ads) and HubSpot, are not headquartered in the European Economic Area in all relevant respects. Where personal data is transferred outside the EEA to these or other providers, we rely on adequacy decisions, the EU-U.S. Data Privacy Framework, or the European Commission's Standard Contractual Clauses (SCCs), together with supplementary safeguards where required.

Retention

Inquiry and client data is kept for the duration of the client relationship, plus any additional period needed to respond to and manage that relationship, unless a longer retention period is required by law or needed to establish, exercise, or defend legal claims.

Billing, invoicing, and accounting records are retained for the periods required under Spanish tax and accounting law.

Your rights

Access: you may request confirmation of whether we process your data and a copy of the data we hold about you.

Rectification: you may request correction of inaccurate or incomplete personal data.

Erasure: you may request deletion of your data when it is no longer necessary for the purposes it was collected for, or when you withdraw consent.

Restriction: you may request that we limit how we use your data in specific circumstances.

Portability: you may request your data in a structured, commonly used, machine-readable format, and request that it be transferred to another controller where technically feasible.

Objection: you may object to processing based on our legitimate interest, or to direct marketing at any time.

Withdrawal of consent: where processing relies on consent, you may withdraw it at any time without affecting the lawfulness of processing carried out before withdrawal.

No online system can be guaranteed completely secure, so visitors should avoid sending highly sensitive information unless it is necessary and an appropriate channel has been agreed.
